How to Choose a Package Forwarding Company: A Practical Comparison Checklist
Choose a package forwarder by the total delivered cost for your real parcel, not by the lowest advertised rate. A useful comparison also checks cargo acceptance, warehouse handling, packing, customs terms, tracking, claims and the quality of support before payment.
The right company for a 2 kg carton of clothes may be the wrong one for 25 kg of food, cosmetics and battery-powered products. Start with the shipment, then evaluate the provider.
The seven checks that matter most
| Area | What to verify | Why it changes the result |
|---|---|---|
| 1. Cargo acceptance | Exact product, ingredients, battery, brand and quantity | A low rate is useless if the route rejects the goods |
| 2. Chargeable weight | Divisor, rounding rule and packed dimensions | Bulky parcels can be billed far above scale weight |
| 3. Complete price | Freight, packing, services, tax treatment and exceptions | A headline rate may omit payable items |
| 4. Warehouse process | Address, intake, inspection, storage and consolidation | Weak handling creates errors before export |
| 5. Customs terms | DDP or duty unpaid, declaration support and exclusions | Determines who handles import charges and documents |
| 6. Tracking and support | Milestones, response channel and escalation process | Long silent gaps are harder to resolve |
| 7. Claims | Coverage, exclusions, evidence and deadline | “Insurance available” means little without written terms |
You can score each area from 0 to 5, but do not let a high total hide a failure in cargo acceptance or customs compliance. Those are pass-or-fail checks.
Step 1: write down the shipment before asking for a quote
Send every provider the same facts:
- destination country and postcode;
- product names and quantities;
- actual weight if known;
- carton dimensions if known;
- value of the goods;
- batteries, liquids, powders, food, cosmetics, medicine, magnets or branded items;
- delivery deadline;
- preferred air or sea service;
- whether you need duty-paid delivery.
If you ask one provider about “clothes” and another about a mixed carton with perfume and a battery, the quotes cannot be compared.
Step 2: compare chargeable weight, not just the price per kilogram
International parcel routes commonly use the greater of actual weight and volumetric weight. A frequent formula is:
Volumetric weight = length × width × height ÷ divisor
The divisor and rounding rule belong to the route. YANCHAO's standard calculation uses 6000; selected reduced-volumetric routes use 12000. Final warehouse measurements control the settlement.
Ask each provider:
- What volumetric divisor applies to this route?
- Is each parcel, kilogram or half-kilogram rounded up?
- Is the quote based on current carton dimensions or an estimate?
- Will unused packaging be removed before measurement?
- Can the carton be split or reinforced if that lowers risk or chargeable weight?
Two companies can advertise the same per-kilogram rate and produce different bills because their divisors, minimums and packing differ.
Read the full method in How International Parcel Forwarding Costs Are Calculated.
Step 3: normalize the quotes
Build one comparison table instead of copying the total from a chat message.
| Quote field | Provider A | Provider B | Provider C |
|---|---|---|---|
| Route and service level | |||
| Actual weight used | |||
| Packed dimensions used | |||
| Volumetric divisor | |||
| Chargeable weight | |||
| Freight | |||
| Packing/repacking | |||
| Inspection/photo services | |||
| Insurance or declared-value cover | |||
| Import duty/VAT treatment | |||
| Possible exception fees | |||
| Estimated transit range | |||
| Written total and quote date |
Use the same currency and the same parcel facts. If a field is unknown, mark it “not confirmed” rather than assuming it is free.
Step 4: check whether the company understands your goods
A competent review is specific. Support should ask what the item is, not merely whether it is “sensitive.”
For cosmetics, provide the product form, capacity, ingredients where available and whether it is a spray or perfume. For electronics, provide battery type, battery capacity and whether the battery is installed. For food, provide ingredients, packaging and shelf-stability. For branded goods, disclose the brand and quantity.
Red flags include:
- “everything can be shipped” without a destination check;
- advice to hide, mislabel or undervalue goods;
- a route recommendation before asking about the product;
- refusal to state the accepted cargo attributes in writing;
- a guarantee that customs will never inspect the parcel.
Step 5: inspect the warehouse process
The international leg begins after several warehouse decisions. Ask what happens when each domestic order arrives.
Useful questions include:
- How is the parcel matched to my account?
- Do intake photos show the item and quantity clearly?
- What inspection is included, and what is not a product-authentication service?
- How long is storage free, and what happens after that period?
- Can I remove shoe boxes, hangers or seller packaging?
- Who approves repacking, vacuum packing or parcel splitting?
- Is the final weight photographed or recorded?
- Can I see the packed dimensions before dispatch?
YANCHAO provides 180 days of free warehouse storage under its current service terms. That does not mean every optional packing service or every exception is free, so the order page should still show the selected services.
Step 6: understand the customs term
“Door to door” is not precise enough. Ask whether the route is DDP/tax-included or whether the recipient pays assessed import charges.
For a DDP route, confirm what the term includes and excludes. For a duty-unpaid route, ask which carrier or broker will contact the recipient and whether brokerage fees may be charged separately.
The company should also explain that customs controls inspection and admissibility. No private service can turn a prohibited product into an acceptable import.

Step 7: read the claims terms before a problem exists
Do not rely on a badge that says “insured.” Request the actual conditions.
Check:
- whether cover must be requested before shipment;
- the maximum covered amount;
- whether compensation uses purchase value, declared value or another basis;
- exclusions for fragile goods, leakage, inadequate seller packaging or customs action;
- evidence required, such as unboxing video, invoice or damage photos;
- reporting deadline after delivery;
- treatment of partial loss, delay and total loss.
If the terms are not available until after payment, the protection cannot be valued in the quote comparison.
Step 8: run a small trial shipment
For a new provider, a trial parcel is more useful than a hundred anonymous reviews. Choose ordinary, replaceable goods and test the complete process:
- register and obtain the warehouse address;
- send one or two domestic orders;
- check intake speed and photo quality;
- ask a real route question;
- request consolidation and inspect the final measurements;
- confirm the payable amount and customs term;
- track the parcel to delivery;
- record how support handled any exception.
Do not use the first trial for medicine, expensive collectibles, fragile glass or a deadline-critical gift.
A weighted scorecard you can reuse
| Criterion | Suggested weight | Score (0–5) | Weighted result |
|---|---|---|---|
| Cargo and destination fit | 25% | ||
| Transparent total cost | 20% | ||
| Packing and warehouse controls | 15% | ||
| Customs clarity | 15% | ||
| Tracking and support | 10% | ||
| Claims terms | 10% | ||
| Transit-time fit | 5% |
Price is deliberately not the only high-weight item. A cheaper quote that cannot carry the goods or explain its customs term is not a usable quote.
Questions to send customer support
Copy this list and replace the bracketed details:
I am shipping to [country and postcode]. The parcel contains [exact items and quantities], with an estimated actual weight of [x kg] and dimensions of [L × W × H cm]. Please confirm the available route, accepted cargo attributes, volumetric divisor, rounding rule, minimum chargeable weight, included services, customs term, estimated transit range, claims options and any fees not included in the quote.
A clear answer should be route-specific. Save it with the quote date because rates and availability change.
How to evaluate YANCHAO using the same checklist
Do not exempt YANCHAO from the comparison. Enter the destination and parcel facts in the live shipping calculator, then compare the displayed routes using the same worksheet.
YANCHAO can receive domestic orders, record warehouse intake, consolidate compatible parcels, repack where appropriate and provide current route options. Selected routes offer DDP handling. Final freight is settled from the packed measurements, and route acceptance depends on the actual goods and destination.
For country-specific decisions, use the existing comparison guides:

- Best Taobao Agent for Europe
Those pages address local route and import questions; this page supplies the reusable selection method.
Frequently asked questions
Is the cheapest package forwarding company usually the best?
No. Compare the final cost for the same packed parcel, including chargeable weight, services, customs treatment and exceptions. Then check whether the route accepts the goods.
How can I tell whether a forwarding quote is real?
It should name the route, quote date, chargeable-weight basis, divisor, minimum, included services and customs term. An unexplained “all-in price” is difficult to verify.
Should I choose air or sea shipping first?
Choose after you know the parcel weight, volume, cargo type and deadline. Air often suits smaller or urgent parcels; sea can suit heavier, less urgent consignments but may have higher minimums.
Are online reviews enough?
No. Reviews can reveal recurring service patterns, but they rarely match your destination, goods, dimensions and route date. Use reviews as a warning signal, then run a small trial.
What is the biggest red flag?
Advice to conceal goods, falsify value or rely on a guarantee of “no customs inspection.” That creates risk for the parcel and the recipient.
Final answer
The most reliable way to choose a package forwarding company is to submit the same detailed parcel brief to several providers, normalize the quotes and test one low-risk shipment. Cargo fit and customs clarity come first; only then compare total delivered cost, warehouse handling, support and claims.
