How to Reduce Lost or Damaged Parcel Risk When Forwarding from China
No courier or forwarder can guarantee that a parcel will never be lost or damaged. The practical safeguard is a verifiable handover chain: domestic tracking, warehouse arrival records, item photos, a packing record, international tracking and delivery evidence. Insurance then defines what happens if those controls still fail.
What evidence should exist at every handover?
Each handover should answer three questions: what was received, who controlled it next, and what record proves the transfer. A status label without an order number, photo, weight or tracking event is weak evidence.
| Stage | Main risk | Evidence to keep | Check before moving on |
|---|---|---|---|
| Seller to China warehouse | Wrong parcel, missing units, damaged outer packaging | Seller order, domestic tracking number, warehouse arrival record | Does the tracking number match the correct order and UID? |
| Warehouse receipt | Wrong colour, size, quantity or visible condition | Arrival photos, recorded weight, item notes | Report a seller problem while a domestic return may still be possible |
| Consolidation and packing | Item omitted, wrong carton or avoidable volume | Selected-package list, packing request, final weight and dimensions | Do the packed contents and protection match the instruction? |
| International transport | Loss, delay or tracking gap | International number and dated carrier events | Is the last event within the route's normal investigation window? |
| Customs | Inspection, document request or seizure | Declaration, purchase proof and customs notice | Was the item described and valued accurately? |
| Last mile | Misdelivery, unattended drop or signature dispute | Delivery scan, photo or signature where available | Is the address complete, and can the recipient accept the parcel? |
Review records as they appear. Waiting until the international parcel is delivered makes a China seller return, address correction or packing query much harder.
What can warehouse photos prove?
Warehouse photos can document visible quantity, labels, colour, obvious external damage and the condition at receipt. They cannot prove authenticity, hidden defects, electronic function, ingredients or regulatory compliance.
Ask for a focused image when a detail matters: a size label, product seal, model number or item count. Save the original seller listing and payment record beside the warehouse image. The two records together are more useful than either one alone.
What should be checked before consolidation?
Confirm that every selected parcel belongs to the shipment and that all items can travel on one route. Mixing a liquid, powder or battery product into a general-goods carton can invalidate the route choice or require the parcel to be reopened.
State packing priorities in writing. Removing seller cartons can reduce volume, while fragile goods may need corner protection, bubble wrap or a stronger carton. A smaller box is not automatically safer, and extra protection can increase volumetric weight.
After packing, save the final actual weight, dimensions and chargeable weight. Those figures link the warehouse record to the freight payment and are useful if a carton is later missing or arrives visibly different.
What does YANCHAO's free basic cover include?
Eligible forwarding shipments receive free basic cover, but it is not unlimited full-value insurance. Under the current public terms, a standard or coupon member's completely lost parcel can receive a freight refund and compensation up to CNY 500; partial loss is assessed by the remaining item's actual value with a stated per-item cap. Membership level can change the applicable limit.
Basic cover does not include damage. It also does not turn every tracking delay into a payable claim. The exact membership, goods and cause must meet the current terms.
Where no paid declared-value cover was purchased, the current eligible-loss standard also states CNY 40/kg for air or CNY 20/kg for sea, capped at CNY 1,200 per shipment, with freight treatment depending on whether loss occurred before or after overseas extraction. Individual claims require review; these figures should not be used to promise a result before the evidence is checked.
When should declared-value insurance be added?
Add declared-value insurance before dispatch when the documented value is higher than the basic protection you are willing to accept. YANCHAO's current declared-value range is CNY 500–10,000.
| Declared amount | Current rate |
|---|---|
| CNY 500–1,000 | 2% |
| CNY 1,001–2,500 | 3% |
| CNY 2,501–5,000 | 4% |
| CNY 5,001–10,000 | 5% |
The customer must enter the declared amount during packing and provide acceptable value evidence before dispatch. Current terms require a formal domestic invoice or a mainstream e-commerce order from the previous three months. Entering an amount without providing the evidence is treated as giving up the declared-value cover.
For an eligible loss, compensation uses the lower of the insured amount and proven actual value, subject to the policy. For eligible damage, the single item's value is considered within the insured limit. This does not remove product-specific exclusions.
Which events are excluded from the current cover?
The current public terms exclude several common scenarios:
- breakage of fragile goods, including fragile electrical items where the transport risk was disclosed before dispatch;
- theft or loss after tracking shows successful delivery;
- loss caused by an incorrect address, refusal or another customer action;
- force-majeure events covered by the exclusion;
- delays on routes that are not marked as guaranteed or time-limited.
Customs cases caused by an inaccurate declaration, missing product certification or another customer/product compliance issue are also different from a carrier-loss claim. Accurate goods, value and quantity descriptions are part of the evidence chain.
How does the time-guarantee payment work?
Only eligible air routes marked guaranteed delivery or fast delivery for the UK, US, Australia, Canada and Europe use the current delay benefit. It begins after 15 calendar days, counted from order placement to overseas extraction.
From day 16, the published amount is CNY 1 per kg per additional day, capped at CNY 10/kg and CNY 100 per shipment. Sea routes, ordinary non-guaranteed services and other unmarked routes do not receive this benefit. This is a defined capped payment, not an unlimited promise to reimburse every consequence of delay.
What should you do when tracking stops updating?
First, capture the last event, date and carrier number. Compare it with the selected route's normal window and check whether customs, an address query or delivery attempt is shown. Do not file several contradictory requests with different item values.
Give support the order number, international tracking number, item list, purchase proof, warehouse records and the exact missing event. YANCHAO's current public terms state that verified claims are processed within three working days. The verification period begins after the necessary evidence is available; it is not a promise that every investigation finishes immediately after the first message.

Frequently asked questions
Can a parcel forwarder guarantee zero loss?
No. A responsible provider should explain the handover evidence, tracking, insurance, claim limits and exclusions. A zero-loss slogan does not replace these records or terms.
Does YANCHAO's free basic cover include breakage?
No. The current basic cover addresses eligible loss and defined delay cases; damage is not included. Paid declared-value insurance can cover eligible damage within its terms, but fragile-item and other exclusions still apply.
What proof is needed for declared-value insurance?
Provide a formal domestic invoice or a mainstream e-commerce order from the previous three months before dispatch. The insured amount and proven actual value are compared, and compensation cannot exceed the applicable lower figure or policy limit.
What happens if a parcel is stolen after delivery?
The current cover excludes loss after tracking shows successful delivery. Use a staffed address, delivery instruction or another secure acceptance arrangement where the last-mile carrier supports it.
Does every delayed parcel receive compensation?
No. Only marked guaranteed or fast-delivery air routes in the stated markets qualify under the current delay benefit. It starts after 15 calendar days and is capped; non-guaranteed routes and sea services are excluded.
